Data Safety Policy

This policy template describes data-safety practices for sensitive print jobs handled through Jay Print Portal, including consent, limited collection, private storage, access controls, and deletion of temporary files.

Template note: This is a general template. Review and update it to reflect your actual business practices, data flows, service providers, and applicable legal requirements before publishing or relying on it.

1. Consent First

Before accepting a file or starting a print job, explain what information or document is needed and why it is required. Obtain the customer’s consent and confirm that they are authorized to provide the file for the requested service.

2. Minimum Data Collection

Collect only the information reasonably necessary to complete the requested print job. Avoid requesting or retaining additional identifiers or documents when the service can be completed without them.

3. Private Storage

Store uploaded files in private locations rather than publicly accessible folders. Use encryption where appropriate and restrict file access to authenticated users who need it to process the job. If links are used to provide access, make them authenticated and time-limited where supported.

4. Role-Based Access

Limit staff access to the jobs and information required for their assigned duties. Administrative actions involving sensitive files or account permissions should be logged where the system supports audit logging.

5. Retention and Automatic Deletion

Keep temporary files only for the period needed to complete the service and any required follow-up. Delete them according to a defined retention schedule. On shared production devices, clear temporary downloads and local or browser caches after use, where applicable.

6. Reporting a Concern

If you have a question or concern about how information is handled, contact the support team through the Print Portal Help page.
